Traceability Log

Fri, 7 Jan '11 @ 2:31 AM
Would it be possible to provide access to a log of actions? I know you can see who has created a lead, project, etc. or who has posted a message on the forum, but we would like to have access to detailed information about who changed lead X from Cold to Hot, or who updated contact Z's email address.

Obviously I don't know the structure of the SQL databases, but suspect that there is a record of user A making a change to item B...

This would be nice... especially if we could see in the log if the customer has viewed their invoice. :)

Right now i can't see who added the garbage to the contact details, so I don't know who in the team needs training. (or a kick in the ...)

I would think that this would be a basic feature request from more users. Without this, there is no accountability and I see the database spiraling into a state of disorder very quickly.

Thanks for the reply Geoff - I guess you posted it when logged on as me during your testing.

All we need is a log to match a lead/project/contact/any item really with the date when the change was made and by whom.

For example:
Contact: Rob Zombie
Modified: Jan 19th 2011
By: Jonathan Low

In an ideal world we would also like to see:
Action: "Organisation" changed from "x" to "y"

...but I suspect that would be more complex.

I expect that this log would only be accessed when an issue or anomaly was encountered, so a report would suffice rather than trying to attach the information to the live contact... Even a long list report would do where you could export it and search for your anomaly.

Hi - we have been looking at something similar, but using the term "audit trail". I'm still unsure how to overcome the performance hit this would take on the application (ie retrieve in real time every action for an account with time stamp, user details, activity and context) but it isn't impossible.

Essentially a live feed, and then ability to:

- refine by time
- refine by activity
- refine by person
- refine by customer

The information would only be required by exception. A simple report to list the audit trail for any given time period would do the job for me and avoid any adverse effect on the system's performance.

I think at a minimum, It would be very useful to have a "last updated" time stamp and who updated the contact displayed on the contact details page. (it can be at the bottom of the page)

Then, if there is anything weird going on, Jonathan's suggestion would be an acceptable solution to track down what was changed, by who and when.

Dan... glad you are looking into this.. could this be used to see if a client viewed an invoice? That would be really nice as Freshbooks does that and it's one of the best features they have. Thanks. Duane

Is there an undo feature? Let's say one of my employees does something wrong, and I want to undo it with a click of a button - is it possible?

Like in Google Docs, when you view the revision history, and you revert back to any previous version.

Or in any other program, when you press Ctrl+Z and you can undo unlimited number of actions.

Hi Bence,

Currently there is not a "undo" function where you can undo another users actions. We do have the normal undo function buttons in the wysiwig editor.

As for the email tracking... this feature is now available. See image below...

As part of our upgrade to new hardware, we've rebuilt the session manager. A side benefit of this is that we can now effortlessly and with minimal server resources track which employees logged into an account at what time, which are still active and track all IP address. Sooooo - this feature suggestion is back on track.

Update: The session state manager and ability to fully track and timestamp every single interaction with a WORKetc account is now complete. We'll start working on optimisation, search and display of this data shortly - as you can imagine each account generates a whole lot of tracking data!

Not having an "undo" function that will restore projects or sub-tasks that were unintentionally deleted is going to be a major decided factor in whether we switch to Work Etc. Is this functionality even on the roadmap?
Sat, 22 Oct '11 @ 7:05 AM
Agree with Becky. It would be a nice feature to have.
Looks like some other good systems out there have adopted it (ex. Dropbox, Solve360).
Like a 'Bin' which you can restore.
Any news on this?

Work on this is continuing, and we still hope to be launching this before year end. You can see what is planned in more detail on the roadmap at http://www.worketc.com/blog/Development/88
